Help & Support
Everything you need to know about using Property Audits.
Getting Started
Creating your account
Access to Property Audits is by request. To create an account:
- Go to Request Access on the sign-in page and complete the form with your name, email address, organisation, and a password.
- Check your inbox β you'll receive a verification email. Open it and click Confirm Email Address to verify your address.
- If your organisation is already registered on the system, the organisation contact will receive an email asking them to confirm your membership. Once they approve, you'll be one step closer to access.
- A Property Audits administrator will review your request and activate your account. You'll receive an email when your account is ready.
Signing in
Once your account is active:
- Go to the sign-in page.
- Enter your email address and password, then click Sign In.
- You'll be taken to your home screen where all available audit modules are listed.
If you've forgotten your password, contact your administrator β they can generate a password reset link for you.
Profile & logo
Your profile is accessible from the menu in the top-right corner of any page. From there you can:
- Update your display name.
- Change your password.
- Upload a personal company logo β this appears on the front cover of every report you generate. If your organisation has a logo set, it will be used automatically and you don't need to upload one yourself.
Running Audits
Starting an audit
- From the home screen, choose the audit type you need to carry out and click Start Audit.
- Enter the property address. If your organisation has a property list set up, you'll see suggestions as you type β select the correct address to ensure consistent reporting.
- Work through the form. Required fields are marked with a red asterisk (*). You can save your progress at any time (see Saving drafts).
- Once complete, click Submit Assessment. A PDF report is generated and emailed to you automatically.
Using on mobile
Property Audits is designed to work on smartphones and tablets as well as desktop computers. All audit forms are mobile-optimised.
- Add Property Audits to your home screen for a faster, app-like experience β use "Add to Home Screen" in your browser's share/menu.
- When adding photos, tap the camera icon to take a photo directly with your device's camera, or choose from your gallery.
- Forms auto-save your progress every 30 seconds, so you won't lose work if you switch apps or your screen locks.
- On slow connections, progress is saved locally and synced when connectivity returns.
Saving drafts
Your work is automatically saved as you go β you don't need to do anything special. Here's how it works:
- Drafts are saved to the server every 30 seconds and whenever you make a change.
- A small status pill appears in the bottom-right corner of the screen confirming when your draft was last saved (e.g. "Draft saved 14:32").
- You can also click the Save Draft button in the top navigation bar to save immediately. The button briefly turns green and shows β Saved to confirm the save completed.
- Drafts are tied to your account, not your device β you can start an audit on your phone and continue on a desktop computer, or vice versa.
- When you next visit the home screen, any in-progress audits will be shown as a reminder. Click Resume to continue where you left off.
- Submitting an audit automatically clears the draft for that assessment.
Submitting & downloading reports
When you're ready to finalise an audit:
- Review your answers and scroll to the bottom of the form.
- Click Submit Assessment. A progress bar shows the upload and report generation stages.
- Once complete, you're taken to a confirmation page with a Download PDF button.
- The PDF report is also emailed to the address on your account automatically.
- If your account has a manager email set, they'll receive a copy too.
To access past reports, go to My Reports in the navigation menu. Download links are valid for 24 hours; if yours has expired, visit My Reports to generate a fresh link.
Audit Types

A comprehensive assessment of fire hazards, means of escape, and existing fire safety measures at a property. Structured around standardised questions covering:
- Ignition sources and fuel loads
- Means of escape β doors, corridors, signage
- Fire detection and alarm systems
- Fire suppression equipment (extinguishers, blankets)
- Emergency lighting and evacuation procedures
- Maintenance and management records
Each question uses clear pass/fail/NΒ·A response buttons. Questions with conditional follow-ups reveal additional detail fields automatically. Your answers are automatically saved as you work.
π§ Legionella Risk Assessment
Category: Fire Safety / Water Safety
Assesses the risk of Legionella bacteria in a property's water systems. Covers:
- Cold and hot water storage and distribution systems
- Water temperature checks and control measures
- Risk of water stagnation and dead-legs
- Showerheads, taps, and other outlets
- Maintenance records and responsible persons
Uses the same question-based format as the Fire Risk Assessment, with conditional questions revealing relevant follow-up fields.
π Fire Alarm Weekly Check
Category: Fire Safety
A quick weekly record of fire alarm testing at a property. Designed for completion in under two minutes. Captures:
- Date and time of the test
- Call point reference tested
- Whether the correct zone triggered on the panel
- Whether audible alarms sounded across the building
- Visual inspection of call points and signage
- Any defects identified and actions taken
No room-by-room navigation β this is a single-page form for fast weekly completion.
π Void Check
Category: Property Management
A post-tenancy condition check carried out when a property becomes vacant. Records the condition of every room and captures utility meter readings. Key areas:
- Select the rooms present in the property (standard rooms + custom rooms)
- Per-room: items to remove, decoration required, repairs needed (with photos)
- Electric and gas meter readings (serial number, type, credit if prepayment)
- Central heating type and CO alarm presence
- Property front photo
Custom rooms can be added for any non-standard space (e.g. "Conservatory", "Office"). Each repair can have a description, assigned contractor, and photo.
β Compliance Check
Category: Property Management
A full room-by-room compliance inspection covering safety and condition across a tenanted or vacant property. Each room is assessed for:
- Floor level, smoke alarm, window restrictors, fire door and latches
- Lighting, blinds/curtains, and decoration
- Room-specific checks (bathroom: toilet, sink, shower; kitchen: cooker, hob, extractor; cellar: fire boarding)
- Per-room photographs
A Remedials section at the end of the form lets you log any required works, including location, action needed, and contractor type. Remedials appear as a summary table in the PDF report.
π Pre-Tenant Inspection
Category: Property Management
Carried out before a new tenant moves in. Similar structure to the Compliance Check but without contractor fields, and includes meter credit readings. Covers:
- Room-by-room condition checks (same fields as Compliance Check)
- Boiler, CO alarm, and thermostat checks
- Electric/gas meter type and credit at handover
- Remedials list (location, issue, action β no contractor)
π New Property Record
Category: Property Management
An initial inspection record created when a property is first added to your portfolio. Provides a permanent baseline condition record. Includes:
- Full room-by-room condition assessment with photographs
- Electric and gas meter serial numbers and types
- Boiler make/model, CO alarm, and thermostat details
- Door checks throughout the property
Unlike the Compliance Check, this module has no remedials section β it is a record only.
Organisation Management
This section is for organisation contacts β users who have been designated to manage their organisation's settings within Property Audits.
Managing the property list
If you have been granted the Manage Properties permission for your organisation, you can maintain a shared list of property addresses that all members can use when completing audits.
To access the property list, open the navigation menu (top-right) and select Property List.
From the property list you can:
- Add a single address β type the address and click Add.
- Bulk import β paste multiple addresses (one per line) and click Add All.
- Remove an address β hover over a row and click Remove.
Once addresses are in the list, all users in your organisation will see them as autocomplete suggestions when they start a new audit. Selecting an address from the list ensures consistent naming across all reports.
Approving new members
If you are the designated organisation contact, you will receive an email whenever someone registers for Property Audits and names your organisation.
The email will show the applicant's name and email address. To approve their membership:
- Open the email and click Confirm Membership.
- You'll be taken to a page asking you to confirm β click the button to approve.
- The applicant's account will then be reviewed by a Property Audits administrator before being activated.
Approval links expire after 72 hours. If an applicant's link has expired, a Property Audits administrator can resend it from the admin panel.
Organisation logo
Your organisation's logo appears on the front cover of every PDF report generated by members of your organisation. You don't need to ask each user to upload it individually.
To set or update the organisation logo, contact a Property Audits administrator β they can upload it from the admin panel. Individual users can still upload their own personal logo if they prefer, which will override the organisation logo on their reports.
